Join our Care Home Team in Exeter. Green Tree Court located in Exeter is a luxury, 68-bedroom care home which has achieved the Stirling Gold Standard for dementia design. The home provides a comfortable, safe, stylish environment, for those requiring expert dementia support and nursing care.

Purpose of the role

The Admin Assistant plays a key role in supporting the smooth and effective running of the Home by delivering high‑quality administrative and financial support to the Management Team. Working closely with the Administrator and wider Senior Team, this role contributes to the efficient operation of all office systems, ensuring accuracy, confidentiality, and compliance with Company policies and regulatory standards.

The post-holder supports the day‑to‑day administration of the Home, including financial processes, payroll preparation, recruitment activities, and maintaining clear, organised records. By providing a welcoming and professional point of contact for residents, families, staff, and external professionals, the Admin Assistant helps to promote a positive experience for everyone who interacts with the Home.

This role forms part of a flexible, responsive workforce, adapting to the evolving needs of the service while upholding the Company’s commitment to high standards, transparency, and person‑centred care.

Key responsibilities of the role

  • Provide high‑quality administrative and financial support to the Administrator and Management Team, contributing to the smooth and effective running of the Home.
  • Support the preparation, processing, and maintenance of financial information, including bookkeeping duties, accounting entries, budgeting support, VAT tasks, and the production of accurate financial reports.
  • Assist the Management Team by responding to requests for financial or budget-related information in a timely and professional manner.
  • Support the issuing, tracking, and processing of invoices, ensuring all systems and procedures are followed in line with Company policy.
  • Maintain accurate financial records including petty cash, bank reconciliations, income collection, and the preparation of reimbursement claims for approval.
  • Work with the Manager to collate payroll information and liaise with the Payroll Department to resolve staff queries.
  • Support the Administrator and Senior Team with recruitment administration, including processing new starters, leavers, and changes to working hours, ensuring compliance with statutory procedures such as Statutory Sick Pay.
  • Ensure preferred supplier processes are followed, contributing to cost‑effective and compliant purchasing across the Home.
  • Enter and update information within the accounting system with accuracy and attention to detail.
  • Maintain the Home’s filing, record‑keeping, and data management systems, ensuring information is stored securely, logically, and in accordance with data protection legislation and the rights of service users.
  • Provide a welcoming and professional reception service, responding to telephone calls, visitors, residents, families, and professionals in a courteous and efficient manner.
  • Use a range of software packages confidently, including word processing, spreadsheets, and other business systems relevant to the role.
  • Ensure administrative practices support the Home in meeting all regulatory standards and Company requirements.
  • Maintain confidentiality at all times, handling sensitive information with discretion and professionalism.
  • Uphold high standards of personal presentation and follow the Company’s policies on Infection Prevention and Control.
  • Carry out tasks that may involve manual handling of items, following safe practice and training.
  • Attend meetings, mandatory training, and refresher sessions as required to support personal and professional development.
